Lunchtime and Premium Meal Deals managed through SAP promotions process

What’s happening?

The way we manage Lunchtime and Premium Meal Deals is changing on Friday 06 September 2024, and will be managed via our SAP promotions process. This aligns it to how we currently manage all our other promotions. In May you received a communication this was coming and were provided with support sessions and guidance.

What does it mean for me? What do I have to do?

While you may already use Co-op Connect for some aspects of your supplier relationship with us, you’ll need to start using the system to manage promotional funding and start following this new process.


Why is it happening?

Up until this change, Co-op has managed supplier billing using legacy systems. As we continue our transformation into SAP, we need all promotional data to be held in SAP. This means to continue to run promotions together, we’ve brought this into the new system.


FAQs


Will I still need to submit a spreadsheet to the Commercial team for promotion submissions?Yes, this process will continue, but for meal deal products where funding has not been agreed via the vendor fund process previously, Co-op will manage vendor funding for the meal deal via Co-op Connect.


Will this change impact on the independent societies (FRTS)?

No, independent societies will receive the promotions package using the same channels they do today.


Why is this change being made now?

As a business we’re continuing our SAP transformation journey, which means moving into the Finance module of SAP. All supplier billing for promo funding agreements will then take place in SAP. At the moment, Co-op manages its supplier billing in legacy systems. With this change, it requires that all promotional data is in SAP. If Meal Deal is not managed in SAP, it would mean Coop could not invoice their supply base for meal deal promotions.


Will I still receive promotional confirmations?

Yes, you’ll receive a promotional confirmation report at Week-7 and for every week after that before go live for that promotion. The change we are making brings an additional confirmation of the promotion being approved. This is because once the promotion and funding has been approved in SAP, this will feed to Co-op Connect and show as approved in your Promotions Dashboard.
