Customs Solution


Background

The way we currently collect Windsor Framework-related product data is a manual and time consuming process. In line with government legislation coming into effect from Monday 31 March 2025, we’ll be required to provide detailed information on our customs declarations as the remaining customs changes and enforcement activities are introduced.


To prepare for this, we’re changing the way we capture product data in Co-op Connect to ensure we’re compliant with our customs obligations, and to make sure we hold accurate product data at all times.


What does this mean for you?

From 10am on Monday 3 March, several mandatory article fields will be introduced in Co-op Connect. These changes are business critical, and going forward you’ll need to use these new fields to make sure we’re legally compliant in moving goods to Northern Ireland via the Windsor Framework.

Change Freeze

We’ll implement a change freeze in Co-op Connect for new articles in the two weeks prior to the system changes taking effect. Please note the dates and activities below:


Tuesday 18 February

  • final day for suppliers to submit new articles, including adding new case sizes to existing articles via Co-op Connect


Tuesday 25 February

  • final day for suppliers to make changes to existing articles, eg. description, via Co-op Connect


Monday 3 March

  • from 10am, suppliers can submit new articles and make amends to existing articles via Co-op Connect


Creating new articles

It’s important that new articles are submitted within deadlines for Co-op range events. This is to make sure we have time to check compliance with the Windsor Framework.

For the range event types below, load new article data by:

 

1 Star – by week 9

2 Star – by week 22

3 Star – by week 26


Amending and reviewing existing articles

  • if you're bringing a product back into range, or amending information on an existing product, it's important you check the Windsor attributes are completed so compliance checks can be made

  • Windsor Framework data we've previously collected from you has been loaded onto Co-op Connect. However, it's important for you to review the data we hold for your products as inaccurate information could mean we can't ship your goods to Northern Ireland

  • if any product changes are required, please amend them directly in Co-op Connect

  • if our Customs team contacts you with any queries or data requests, please respond within 48 hours. We appreciate your cooperation
